Course & Program Proposal Guidelines

All Academic Council proposals are submitted using the . Kuali can also be accessed by the general links on the Teaching/Advising tab on MyGate.

Change to existing course

Changes to existing courses are submitted for approval as information items, presented to the Academic Council. The following course changes should be submitted for approval:

  • Change in a course number

  • Change in a course prefix

  • Change in credit hours

  • Change in a course description

  • Change in course title

  • Change in course prerequisite(s) and/or corequisite(s)

EFFECTIVE SEMESTER: The effective date should be the semester (i.e. Fall 2023) that changes will be implemented. Changes cannot go into effect in an active term.

Delete course

Courses to be deleted from ÑÇÖÞɫͼ State's course inventory must be approved by the Academic Council.

EFFECTIVE SEMESTER: The effective date should be the semester (i.e. Fall 2023) that the course will be deleted from course inventory.

New courses

Proposed courses are routed to the appropriate Academic Council standing committee for review and recommendation to the full Academic Council once entered in Kuali.

EFFECTIVE SEMESTER: The effective date should be the semester (i.e. Fall 2023) that the new course will be implemented.

New ÑÇÖÞɫͼs and substantial ÑÇÖÞɫͼ changes

Proposed new ÑÇÖÞɫͼs  and extensive ÑÇÖÞɫͼ changes are routed to the appropriate Academic Council standing committee for review and recommendation to the full Academic Council once entered in Kuali. Minor changes in degree ÑÇÖÞɫͼs, areas of concentration, majors, or minors that do not substantially alter the nature or direction of a student’s course of study will be processed as information items.

The intent to create a new ÑÇÖÞɫͼ should be discussed with the Office of the Provost and Vice President of Academic Affairs. Once the creation of a new ÑÇÖÞɫͼ has been approved, the department should follow the Approval Process for New Degree Programs.

All proposals for new ÑÇÖÞɫͼs are submitted using the and must include a completed

Retire or suspend ÑÇÖÞɫͼs

The intent to retire or suspend a ÑÇÖÞɫͼ should be discussed with the Office of the Provost and Vice President of Academic Affairs, and a proposal should be submitted to Kuali as soon as the decision is made to stop admitting students to the ÑÇÖÞɫͼ.  Proposals to retire or suspend ÑÇÖÞɫͼs must include a teach-out plan.

The teach-out plan will include the following:

  • The closure date, defined by SACSCOC as the date when students are no longer admitted.
  • An explanation of how affected parties – students, faculty, and staff – will be informed of the impending closure.
  • An explanation of how all affected students will be helped to complete their ÑÇÖÞɫͼs of study with minimal disruption or additional costs.
  • An explanation of whether the students subject to the teach-out plan will incur additional charges or other expenses because of the teach-out and, if so, how the students will be notified.
  • A description of how faculty and staff will be redeployed or helped to find new employment.
  • If your teach-out plan includes agreements with other institutions, provide copies of signed teach-out agreements with other institutions, if applicable.
